Fox was engaged by Suffolk University in late May 2007 to plan and implement a series of moves within the University over the summer. The project had two main goals; vacating the 25th floor at One Beacon Street (approximately 30,000 sf) before a lease termination on June 30th; and relocating University personnel affected by renovation projects at 73 Tremont St., 1 Bowdoin St., and 40 Court St. into their permanent locations before September 1st.
Fox had only 5 weeks to plan and implement the moves required to vacate the One Beacon Street space. 85 faculty and staff members from 9 different departments had to be relocated to multiple floors of 4 different buildings. The scope of services included:
- Inventorying all of the existing furniture
- Creating a detailed furniture reuse plan; meeting with each department contact for review of the furniture plan; revising the furniture plan as necessary and obtaining layout approval
- Tagging all existing furniture and equipment to be relocated
- Preparing and issuing a mover RFP and coordinating all move details with selected mover
- Creating and maintaining a move database including all IT information; coordinating IT support from University IT contacts
- Developing a detailed move plan and schedule
- Coordinating with building landlords for access and elevator use
- Supervising the physical moves
- Providing post move support to each department
- Supervising the furniture disposition
Approximately 75% of the existing furniture at One Beacon St. was reused. A small amount of the furniture was stored for future use, and the remainder was removed from the space in accordance with the lease agreement.
From June 1st through September 1st, Fox relocated a total of approximately 250 faculty and staff members from 20 different departments spread over 8 university buildings on 18 different move dates. In addition, Fox relocated classroom furniture affected by construction in 3 buildings, and relocated a call center to new space. Throughout the project, Fox had to manage constant changes to the move plan due to construction and furniture delivery delays, but this very successful project was completed on time. All faculty and staff members were relocated to their permanent locations before the start of the new school year.
